1. About iDocket & these Terms

iDocket ("iDocket", "we", "us", "our") is a software-as-a-service platform that lets businesses and their workers record day sheets, dockets, photos, expenses, hours and related work records. The service is operated by [LEGAL ENTITY NAME] [ABN: XX XXX XXX XXX] from Australia, accessible at idocket.com.au.

These Terms of Service ("Terms") form a binding agreement between you and us governing your use of iDocket. By creating an account, subscribing, or using the service, you agree to these Terms. If you are agreeing on behalf of a business, you confirm you have authority to bind that business.

2. Eligibility & accounts

You must be at least 18 years old and capable of forming a binding contract. Business account holders must operate a lawful business with a valid ABN where required.

You are responsible for keeping your login details secure and for all activity under your account. Notify us immediately of any unauthorised use.

Business and worker accounts

There are two main account types: business accounts (an employer, agency or business managing a crew) and worker accounts (an individual recording their own work).

Worker accounts belong to the individual worker, not to any business. A worker may create their own account independently, or join a business using a single-use invite code sent by that business. A worker's records — including their expense logbook, day sheets, hours and earnings history — remain associated with their personal worker account and are retained by the worker even if they stop working for, or are removed by, a particular business. Where a worker joins a business via an invite code, the business may access the day sheets and records that worker submits to that business, but does not gain ownership of the worker's personal account or their records relating to other businesses.

It is each user's responsibility to ensure that the records they choose to share with, or carry between, different businesses are accurate and that they are entitled to do so.

3. Subscriptions, trials & billing

Free trial

New business accounts may receive a 14-day free trial. No payment is required to start a trial. If you do not subscribe before the trial ends, your account access may be limited or paused.

Paid subscriptions

Paid plans are billed in advance on a monthly, 6-monthly, or annual basis as selected at checkout. Business plans (Solo, Crew, Business, Fleet) are priced by the number of workers in a crew. The Worker plan is an individual subscription for a single person recording their own work, and includes the ability to join any business that invites them. All prices are in Australian dollars and are inclusive of GST where applicable. Payments are processed securely by our payment provider, Stripe.

Auto-renewal

Subscriptions automatically renew at the end of each billing period at the then-current price unless cancelled before the renewal date. We will charge the payment method on file. You authorise these recurring charges.

Price changes

We may change subscription prices. We will give you at least 30 days' notice before a price change affects you, and the new price applies from your next renewal. Continuing to use the service after the change takes effect means you accept the new price.

4. Cancellation & refunds

You may cancel your subscription at any time from your account settings or by contacting us. Cancellation takes effect at the end of your current paid period, and you retain access until then.

Except where required by the Australian Consumer Law (see section 14), fees already paid are generally non-refundable, and we do not provide partial refunds for unused time within a billing period. We may, at our discretion, offer a pro-rata credit or refund in particular circumstances.

5. What iDocket is (and is NOT)

iDocket is a record-keeping and admin tool. It helps you capture and organise work records, photos, hours and figures. It is not an accounting, payroll, tax, or financial-compliance product.

Specifically, iDocket does not:

  • provide accounting, bookkeeping, tax, financial or legal advice;
  • calculate or remit GST, PAYG, superannuation, or any tax;
  • produce legally-compliant payslips or payroll records;
  • act as a registered tax agent or BAS agent;
  • handle, hold, or transfer wages or payments between businesses and workers.

You remain solely responsible for your own tax, payroll, superannuation, award compliance and financial obligations. Always consult a registered tax agent, accountant, or the relevant authority (ATO, Fair Work) for those matters.

Labour hire and agency use: Where iDocket is used by a labour-hire agency, recruiter, or similar business to record worker hours across host sites, iDocket is a record-keeping tool only. It does not determine, verify, or guarantee the hours that should be billed to a host business or paid to a worker, and it does not establish any employment, engagement, or contractual relationship between any worker, agency, or host. Responsibility for labour-hire licensing, billing, payment, and compliance rests entirely with the relevant businesses.

6. Wages, earnings & revenue disclaimer

All dollar figures in iDocket are estimates for personal record-keeping only.

Revenue and expense figures entered on day sheets are indicative figures recorded by users. They are not verified, reconciled, or guaranteed to be accurate, and must not be relied upon for tax, accounting or financial reporting.

Wages and earnings figures (including the "Earnings Summary" feature) are estimates calculated from logged hours multiplied by an hourly rate set within the app, with a simple overtime multiplier (default 1.5× after 38 hours/week). These figures:

  • are not legal payslips and do not satisfy Fair Work payslip requirements;
  • do not account for awards, enterprise agreements, penalty rates, allowances, leave, superannuation, PAYG withholding, or deductions;
  • may differ from actual pay. The actual amount owed or paid is determined by the employer's payroll system and the applicable award or agreement.

Workers and businesses must compare iDocket estimates against official payroll records. We are not liable for any discrepancy, underpayment, overpayment, or dispute arising from reliance on these estimates.

7. Daily sign-off & electronic signatures

iDocket includes an optional "daily sign-off" feature that lets a worker confirm their hours and details, and lets a worker and/or a site supervisor add an electronic signature (including a finger-drawn signature) to a day sheet.

A sign-off or signature in iDocket is a convenience record only. It is not, by itself, a legally binding contract, an approval of payment, a guarantee of hours, or proof of identity.

You acknowledge that:

  • iDocket does not verify the identity of any person who ticks a confirmation box, types a name, or draws a signature;
  • a supervisor name or signature recorded in the app is supplied by the user and is not independently authenticated by us;
  • whether a sign-off has any legal or contractual effect (for example, between a labour-hire agency, a host business, and a worker) is a matter for those parties and the agreements between them, not for iDocket;
  • you are responsible for ensuring any person who signs has given their consent and is who they claim to be.

We are not liable for any dispute, billing disagreement, or loss arising from reliance on a sign-off or signature captured through the service.

8. Electronic communications (email & SMS)

By providing an email address and/or mobile number — your own, or (where you are a business) those of workers you invite — you agree that iDocket and its providers may send service-related communications by email and SMS text message. These include invite links, verification messages, day sheet copies, receipts, and account notifications. Email is sent via our provider Resend and SMS via our provider ClickSend (or similar providers we may use).

If you submit a worker's mobile number or email to send an invite, you confirm you have that person's consent to be contacted at that number or address for this purpose. You are responsible for the accuracy of contact details you enter. Standard carrier charges may apply to messages recipients receive. We are not responsible for messages that fail to deliver due to incorrect details, carrier issues, or a recipient's device or settings.

Service messages necessary to operate your account (such as invite links and security notices) are not marketing and may be sent regardless of marketing preferences. Any optional marketing messages will only be sent where permitted, and you can opt out of those at any time.

9. Your data & content

You retain ownership of the data and content you upload (day sheets, photos, expense records, business and worker details). You grant us a licence to host, store, process and display that content solely to provide and improve the service.

We store data on infrastructure located in Australia (Supabase, Sydney region). Our handling of personal information is described in our Privacy Policy, which forms part of these Terms.

You are responsible for ensuring you have the right to upload any content, including photos of dockets and any personal information about your workers, and for informing your workers how their data is used.

10. Acceptable use

You agree not to:

  • use iDocket for any unlawful purpose or in breach of any law;
  • upload content that is illegal, infringing, harmful, or that you have no right to share;
  • attempt to access other businesses' data, reverse-engineer, or disrupt the service;
  • resell or sublicense the service without our written permission;
  • upload sensitive personal information beyond what the service is designed to collect (for example, identity documents, health records, or government identifiers).

We may suspend or remove content or accounts that breach these Terms.

11. Availability & support

We aim to keep iDocket available and reliable but do not guarantee uninterrupted access. The service may be unavailable during maintenance, updates, or due to factors beyond our control. We provide support by email at [SUPPORT EMAIL] and aim to respond within a reasonable time.

12. Liability

To the maximum extent permitted by law, and subject to section 14:

  • iDocket is provided "as is" without warranties of any kind;
  • we are not liable for any indirect, incidental, special or consequential loss, or for loss of profits, revenue, data, or goodwill;
  • we are not liable for losses arising from reliance on revenue, expense, wage or earnings estimates, or from your tax, payroll or compliance decisions;
  • our total aggregate liability arising out of or in connection with the service is limited to the amount you paid us in the 12 months before the claim arose.

13. Indemnity

You agree to indemnify and hold us harmless from any claim, loss, liability or expense (including reasonable legal costs) arising from your use of the service, your content, your breach of these Terms, or your breach of any law — including any claim by a worker, customer, or authority relating to wages, payroll, tax, or data you managed using iDocket.

14. Australian Consumer Law

Nothing in these Terms excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law (ACL) or other laws that cannot lawfully be excluded. Where our liability for breach of a non-excludable guarantee can be limited, our liability is limited (at our option) to resupplying the service or paying the cost of having it resupplied.

15. Termination

You may stop using iDocket and close your account at any time. We may suspend or terminate your access if you breach these Terms, fail to pay, or use the service unlawfully. On termination, your right to use the service ends. We may delete your data after a reasonable period; you should export anything you need before cancelling. See the Privacy Policy for data retention details.

16. Changes to these Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or in-app before they take effect. Continuing to use iDocket after changes take effect means you accept the updated Terms.

17. Governing law

These Terms are governed by the laws of [STATE/TERRITORY, e.g. New South Wales], Australia. You and we submit to the non-exclusive jurisdiction of the courts of that state and the Commonwealth of Australia.
